Location: 1600 16th Ave – Unit 1, Richmond Hill, Ontario

Reporting to the Director, Finance and Decision Support, the Business & Systems Analyst works to support the technology-enabled business initiatives of Hope and Healing International, leveraging deep technical and business understanding to drive process improvements, optimize systems, enhance decision-making, and drive strategic results.

Essential Functions:

 Business & Systems analysis

  • Contribute to the implementation of innovative solutions to drive efficiencies, and excellence in our day-to-day operations.
  • Use analytical abilities to make recommendations on opportunities, leveraging your understanding of our business environment, our workflows, and our data.
  • Partner with business stakeholders to deeply understand business needs driving continuous improvement from concept through to implementation in partnership with Data Analysts, Full Stack Developer and business stakeholders.

Digital Process Support

  • Work together with our Full Stack Developer and Marketing Teams to ensure website landing pages, functions, and emails are built to desired requirements with quality control and assurance processes.

System & Process Planning

  • Collect information from various stakeholders for any new system/process change requests.
  • Evaluate risks, benefits and efforts associated to any change
  • Recommend and assist in implementing changes to system(s) as required.

Project Management

  • Facilitate an initiative from concept to completion with appropriate communication and activity tracking through cross-functional teams.
  • Ability to act as the focal point between customers at a variety of managerial levels and technical specialists, ensuring detailed business requirements lead to intended technical developments and functional enhancements of systems.
  • Support day-to-day coordination of DSS team and its interactions with internal department clients, particularly Marketing and Marketing Services.
  • Support project implementation of small- and large-scale technical enhancements.

Additional duties as Required

  • Support regular requests for systems data leveraging built tools and procedures
  • Provide business & systems expertise to the Hope and Healing International staff as required
  • Develop and implement recommendations to meet business needs or drive business effectiveness
  • Assist / make recommendations in development and documentation of procedures, policies, and systems
  • Provide input into company decisions regarding systems, software and hardware using knowledge of latest trends and applications
  • Collaborate with Data Analysts in support of DSS and the organization ensuring quality on department needs requirements and request responses.
  • Perform other job-related responsibilities as assigned

Our ideal candidate would have:

  • Bachelor Degree/College Degree in Computer Science, Statistics, Mathematics, Business or related disciplines
  • 3 to 5 years of progressive experience in business or systems analytics or relevant field
  • Product and/or project management and related designations (PMP or IIBA) would be an asset
  • Fluency in SQL, BI and report development
  • A thorough understanding of data structures – preferably experience with CRM Systems
  • Process and project management
  • Knowledge of software development, marketing analysis & reporting and Process Analysis
  • Knowledge of fundraising an asset
  • Creativity and innovation
  • Attention to detail
  • An Analytical mind and inclination for problem solving
  • Ability to organize and prioritize tasks to meet deadlines and objectives, communicate complex concepts to all levels of management, and work independently with minimal supervision
  • Ability to follow given directions, guidelines & instructions, and handle sensitive and confidential information
  • Superior computer literacy and proficiency in all office productivity software including Microsoft office suite (Excel, Word, Access, etc.)
  • WordPress, PHP Knowledge would be beneficial

MAIL OUT/ DONOR SERVICES ADMINISTRATIVE CLERK

Duration: July 3, 2023 to January 31, 2025

Location: 1600 16th Ave – Unit 1, Richmond Hill, Ontario

Reporting directly to the Manager, Donor Services, the Mail Out/ Donor Services Administrative Clerk position is responsible for the efficient co-ordination of all mailroom processes, inventory management of stationery and products, the coordination and mailing of Christmas cards and incentive gifts requested by our donors, the packaging and mailing of healinghugs material for third party vendors as well as providing administrative support within Donor Services.

Essential duties and responsibilities: 

  • Print out materials for outgoing mail
  • Sort, merge and print letters and other materials for existing and new donors
  • Prepare outbound mail and parcels
  • Fulfil Christmas Card Orders and incentive gifts in a timely manner for mail delivery
  • Ensure outgoing mail contains required mailing materials, are collated properly, with accurate dates and postage charged to the right accounts
  • Regular operation of mailroom equipment (folder/inserter/postage meter)
  • Management of postage supplies
  • Assist internal clients (Hope and Healing staff) with mailing needs while promoting efficiency and cost control
  • Packaging and mailing of healinghugs material for third party vendors
  • Provide advice to internal clients (Hope and Healing staff) on postage and courier options
  • Conduct online research on available courier pricing
  • Contact couriers to schedule pick ups
  • Prepare all courier packages
  • Maintain accurate mailing records
  • Ensure that all the invoices for courier services are accounted for and delivered on time to Accounts Payable Representative
  • Liaise with Canada Post, Soaring Eagles and Couriers (UPS, A&B etc.)
  • Confirm that all Hope and Healing inventory counts are maintained accurately, and material is always in stock. Inventory will be maintained using the smartsheet tool.
  • Update donors’ profiles with information related to information requests, change of addresses and communication preferences using the donor data base software
  • Fulfill requests from donors and colleagues for materials such as the Prayer Diary, Hope and Healing Calendar, the financial statement and healinghugs promotional material such as bears etc.
  • Create communication records in the donor data base as needed
  • Work with team to help open incoming mail donations
  • Investigate and follow up with returned mail. Update information changes and add communications to the donor’s profile in donor data base
  • Comfortable communicating with donors either by phone, email or letter as needed for administration needs
  • Prepare month end reports, including the postage expense report to ensure it is balanced and that all the invoices for postage are accounted for and delivered on time to Accounts Payable Representative for payment
  • Perform other tasks as assigned by Donor Services Manager

 

Our ideal candidate would have:

  • High School Diploma
  • Experience working with mailroom processes, courier services, postage machine and inventory management is preferred
  • Efficient keyboarding and data entry skills
  • Knowledge of Microsoft Word, Microsoft Excel and Outlook
  • Excellent organizational and time management skills
  • Acute attention to detail
  • Ability to work cooperatively with others in the accomplishment of joint tasks and common objectives
  • Ability to complete repetitive tasks daily
  • Ability to efficiently handle multiple tasks and prioritize
  • Ability to work under minimal supervision with provided guidelines
  • Ability to handle sensitive and confidential information
  • Knowledge of Studio Enterprise will be an asset
  • Knowledge of Smartsheet will be an asset


Working conditions and other requirements:

  • Standard office environment
  • Occasional local travel for work (pick up mail at the post office / bank deposits)
  • Standing and sitting for long periods of time
  • A full range of body motion including handling and light lifting; manual and finger dexterity; eye-hand coordination sufficient to operate computer and peripheral equipment and mail room mechanical aids
  • Regular lifting and moving up to 25 pounds; Occasional lifting and moving up to 40 pounds

MARKETING SPECIALIST

Reporting directly to the Director of Marketing, the Marketing Specialist is responsible for identifying and attracting new Single Gift donors, taking new and existing supporters on a meaningful journey with Hope and Healing International and engaging them more deeply with the cause and brand. Primarily by reviewing and analyzing reports and data to make informed decisions and maximize results.

Essential Functions:

  • Analyzing campaign results and providing recommendations for future enhancements, making recommendations to increase revenue, acquisition and cultivation results.
  • Planning – evaluating the current state of the donor base, recommending key performance indicator targets and actions to achieve these goals.
  • Organizing – coordinating organizational resources, including staff, budget and other expenses, to implement the plans determined during the strategy budget planning process.
  • Controlling – establishing benchmarks or standards based on organization and department’s goals, comparing actual performance against these standards, and adjusting plans based on results to maximize budgets.
  • Marketing Communications – reviewing communications, providing feedback on edits as well as recommendations on enhancements to content and communication channels such as mail, digital and phone.
     

More specifically, Marketing Specialist will:

  • Analyse campaigns and reports to recommend ideal donor data segmentation jobs to increase revenue, reactivation and retention
  • Define tactics, track KPIs, set realistic targets and budget expenses for the Single Gift acquisition and cultivation activities
  • Determine budget requirements and develop annual budgets for the Single Gift strategy
  • Review and track invoices and ensure on track to budget
  • Analyse campaign effectiveness and giving trends to refine the donor journey and increase acquisition, revenue, retention and reactivation
  • Plan and implement an inspiring journey for Single Gift supporters
  • Engage with internal staff such as Creative and Production Services, Digital and Decision Support Services, Donor Relations and Donor Services as required to brief and project manage about 15 to 20 campaigns per year
  • Access Studio Enterprise to validate data lists to support acquisition and cultivation channels
  • Keep abreast of what is effective and what is emerging in the Single Gift fundraising space
  • Performing other job-related responsibilities as assigned.

Our ideal candidate would have:

  • College / university degree with a focus on analytics, statistics, marketing and business development or equivalent
  • 4 to 6 years of prior relevant experience, preferably within the not-for-profit sector
  • Experience leading cross-functional teams
  • Extremely effective interpersonal and networking skills with a professional presence and manner
  • Outstanding insight and analytical thinking – rooted in testing and data
  • Excellent organizational, planning and time management skills
  • Strong attention to detail to review data requirements efficiently and accurately
  • Ability to manage multiple priorities within tightly prescribed timelines
  • Being versatile, flexible, and willing to work within constantly changing priorities
  • Administrative skills with experience in creating creative briefs, graphs and presentations
  • Team player
  • Strong computer skills, including use of Microsoft Office applications and familiarity with integrating various technologies to support marketing efforts
  • Knowledge of Donor Management software – Donor Studio would be an asset
